How to Take Minutes with BoardSpace

The Recording Secretary (RS) is the only person who can create and edit minutes. Only one user can be the RS at a time.

Before You Begin

Go to Meetings and click Start Meeting:

Recording Secretaries see an editable SMART minutes view. If you don't see it, you are not set as the RS.

To make yourself the RS, go to Board Settings from the top-left dropdown and change the RS to yourself.

Take Attendance

Click on the Meeting Details section and click the attendance button:

Call to Order

Go to the Call to Order section and click:

Call to Order button

Click Yes to confirm using the current time, or set it manually by clicking the checkbox.

Approve the Agenda

Go to Approve Agenda. Select the directors who move and second the motion, then click Approved.

Add Text, Motions, or Actions

As the meeting progresses, add text boxes, motions, or actions. It's best to add these items before the meeting starts.

Approve Motions

For each motion, choose the directors who move and second it from the dropdowns.

Set Next Meeting Date

If using this module, select a date and time for the next meeting, choose a meeting type, and add a title and location.

Adjourn the Meeting

Go to Adjournment. Select the directors who move and second the motion to adjourn:

The system records the current time automatically, or you can enter it manually. Confirm Yes — the meeting is adjourned.

Click a blue bubble to open the side panel for comments and notes:

  • Comments — public; visible to the board and managers.
  • My Notes — private; visible to you only.

Add a comment or note — click

New Comment button
or New Note, enter text, then click
Save button

Edit — click the

pencil icon, make your changes, then click
Save/update button
.

Reply — click the

Reply icon
symbol to reply to a comment or note.
